    Post-Event Reimbursement Submission Guidelines

    ⚠️ Important Notes:

    • Incomplete submissions will not be accepted.
    • Loose or scattered documents will not be processed.
    • Ensure all required documents are submitted together.

    Required Documents for Reimbursement Submission:

    1.Original Receipts for Reimbursement
    • Verify if the lecturer fee receipt is signed.
    • Use a pencil to note the payee’s name on each receipt for clarity.
    2.One Electronic Copy of the Event Report (Word Format)
    • Alternatively, the organizing professor can log in to the Deep Rooting System and upload the report using their credentials.
    • Print out the uploaded report page from the system as a supporting document for reimbursement.

    3. One Copy of Event Photos

    • Submit via email or upload to a cloud album for the department office to download.
    • Naming Format: Event Name_Date_01…
    • Deep Rooting Report Upload Manual  available for guidance.
    4. Qualitative and Quantitative Feedback Forms
    • The 2024 Event Report Quantitative Feedback Indicators must include analysis of students’ feedback on:
      • Enhancement of self-directed learning
      • Impact on social participation
      • Improvement in problem-solving skills
    • Reference Template: (Do not use directly; modify as needed)

    • Receipts(Updated annually; download from the Accounting Office website.)

      Transportation Reimbursement:
      Taipei–Jiaoxi round-trip ticket stubs
      For personal vehicle travel, reimbursement is based on Taiwan Railways ticket price.
      Provide a copy of the speaker’s bank account passbook for fund transfers.
      Mark payee details on the back of any invoices to facilitate smooth fund processing.

    • Deep Rooting Project Report (Electronic Format)Fill out and submit to the department office.
      For department-organized events, the hosting professor must provide relevant materials for the department office to complete.
    • Deep Rooting Project Report Submission Portal
    Professors must log in and upload the report using their credentials.
    Print the webpage confirmation after uploading as proof for reimbursement processing.
    For department-organized events, the department office will handle the submission.
